Soon after the death
- Send the card when you have the address and are ready to write.
- It is fine if the card arrives after the funeral.
- Keep the first message simple when the family is dealing with many practical demands.
Weeks later
- A late card can still be meaningful.
- Acknowledge the delay in one sentence if you want, then focus on the bereaved person.
- Do not spend half the card apologizing for timing.
Months later
- A remembrance note can be especially welcome after early support fades.
- Birthdays, anniversaries, holidays, and ordinary “thinking of you” dates can all be appropriate.
- Do not assume grief has ended because time has passed.
Examples and templates
Before you send it
- Is every personal claim true?
- Does the message center the bereaved person rather than your discomfort?
- Have you avoided explaining the death or prescribing an emotion?
- If you offered help, can you realistically do it?
- Could any private detail become public if the card is shown to family members?

Questions about this writing task
Is it too late to send a sympathy card?
No. A later card can still be meaningful, especially after the first rush of messages has ended.
What if I am unsure how to address the family?
Use the names and household terms you know are current, or choose a simple individual recipient rather than guessing.
Do I need perfect etiquette?
No. Accuracy, sincerity and respect matter more than ceremonial rules.
What matters most when writing a sympathy card
The main constraint here is physical space, handwriting, sign-off, and whether several people will sign. Treat that as part of the writing problem, not an afterthought.
- Verify the deceased person’s name, recipient name, and group signatures.
- During the second draft, leave visual space and avoid filling every inch simply because the card is large.
- Read the finished version once from the recipient’s point of view: does it ask them to explain, organize, comfort, host, or reply when they may not have capacity?
- If a detail would feel uncomfortable on a screenshot, noticeboard, printed program, or forwarded email, move it to a more private channel.
